Questions leaders ask about admissions and enrollment

Questions school leaders should ask about admissions software before approving a project, covering fit, ownership, data, family experience, controls, implementation, and cost.

Will it solve the real bottleneck?

Ask which part of admissions is slow, error-prone, or difficult to explain today. Is the problem inquiry response, duplicate entry, document review, assessment scheduling, decision approval, offer acceptance, or the handoff into the student record?

Request a demonstration using the school’s journey and an exception. A polished generic demo cannot establish that the software fits local terms, calendar, roles, or family communication.

Who owns the data and decisions?

Clarify the source of truth for applicants, guardians, documents, decisions, offers, and enrollment. Ask who can view, create, edit, approve, publish, export, correct, archive, and delete each record.

The U.S. Department of Education data governance checklist treats quality, access, security, lifecycle, sharing, disposal, and monitoring as connected responsibilities. Make each responsibility visible in the project plan.

  • Who validates imported applications?
  • Who approves an offer or waitlist change?
  • Who corrects a duplicate or changed guardian?
  • Who answers a family access question?
  • Who handles an incident or end-of-contract export?

What will implementation require?

Ask for the school-side time required for mapping, cleanup, configuration, testing, training, communications, support, and reconciliation. Confirm what happens during the busiest admissions period and which phase-one features can wait.

Compare total cost, including migration, integrations, support, payments, growth, training, internal capacity, exports, and contract-end work. Record assumptions and variable charges rather than presenting a false single number.

Make the next action clear

Use this guidance to improve one bounded part of questions leaders ask about school admissions software. Name the owner, affected record, evidence needed, and review date. Keep the test small enough for admissions staff to complete and specific enough for a later audit.

Check both an ordinary application and one meaningful exception. If either depends on undocumented knowledge, add the missing definition, training note, permission rule, or support route before calling the next step ready.
