Small admissions process improvements that reduce confusion without forcing a full system change: shared definitions, queues, checklists, ownership, and family updates.

Improve the definition first

Choose one status that causes confusion, such as under review, complete, accepted, or enrolled. Define when it begins, what evidence it requires, who can change it, what the applicant sees, and what happens next.

A shared definition often removes more rework than a new dashboard because staff stop interpreting the same label differently.

Make ownership visible

Create a small queue with an owner, due date, next action, and exception reason. Include a backup owner for leave and peak periods. Review the queue at a fixed time and close the loop when the applicant or family has been updated.
