A spreadsheet can hide the workflow

A spreadsheet may be useful for a small, defined task. It becomes risky when it becomes the admissions system of record. Multiple tabs and copies can hide who owns an application, which status is current, which document was approved, and what the family was told.

Review the journey from inquiry to enrollment and identify every place staff copy, filter, export, email, or reconcile data. Those handoffs show where a spreadsheet is adding risk rather than simply recording work.

The control problems are predictable

Shared files make least-necessary access difficult. Version history may not explain a decision. A formula can be changed without a workflow owner noticing. A download can create an untracked copy of applicant or guardian information.

Test who can view, edit, approve, publish, export, correct, archive, and delete each field or record. Do not assume that file permissions provide the same control as task-level permissions.

Know when to move on
