Admissions
A checklist for discussing admissions and enrollment
A practical checklist for discussing school admissions software with leaders, admissions staff, records, finance, families, privacy, security, support, and suppliers.
Before the discussion
Bring the applicant journey, current pain, desired outcome, phase-one boundary, school calendar, affected people, current systems, data categories, and decision deadline. State what is known, assumed, and still unknown.
Prepare an incomplete application, duplicate, changed guardian, rejected document, waitlist, offer correction, withdrawal, family-access, and enrollment-handoff example.
Questions for each group
Ask admissions what work repeats and where cases stall. Ask records what must be accurate at handoff. Ask finance about offers, payments, and reconciliation. Ask families about status, evidence, deadlines, language, accessibility, and help.
Ask privacy and security about minimum necessary data, access, suppliers, incidents, retention, exports, and deletion. Ask support about escalation, peak coverage, temporary work, and closure.
- What decision does this workflow support?
- Who owns each value and exception?
- What evidence proves the option works?
- What remains manual or unknown?
- What condition would hold the release?
Use evidence, not consensus alone
GOV.UK procurement guidance recommends data protection by design and default, minimum necessary data, access control, security, supplier accountability, incidents, and end-of-contract handling. The U.S. Department of Education data governance checklist connects quality, access, security, lifecycle, sharing, disposal, and monitoring.
Record observed behavior, source, date, owner, limitation, and next action. A room agreeing that a workflow sounds good is not acceptance evidence.
Close the discussion
End with proceed, investigate, narrow, repair, hold, or defer. Record owner, due date, evidence required, affected people, communication, and review date. Keep unresolved questions visible to the next meeting.
Make the next action clear
Use this guidance to improve one bounded part of a checklist for discussing school admissions software. Name the owner, affected record, evidence needed, and review date. Keep the test small enough for admissions staff to complete and specific enough for a later audit.
Check both an ordinary application and one meaningful exception. If either depends on undocumented knowledge, add the missing definition, training note, permission rule, or support route before calling the next step ready.
