How this works in a running school

The academic calendar is easy to underestimate because it looks like a settings page. In practice it is the reference that determines whether numbers elsewhere in the platform are correct. Attendance percentages divide by working days; fee due dates fall on calendar dates; leave entitlement excludes holidays; scheduled jobs skip non-instructional days. A calendar configured after those modules go live produces figures that quietly disagree with reality.

It is also the piece most likely to change mid-year. An unplanned closure, a shifted examination week, or a newly declared public holiday has to propagate, and the test of a good implementation is whether updating the calendar corrects the dependent figures rather than requiring each module to be adjusted separately.

What to check when evaluating it

• Whether one calendar drives attendance, fees, leave, and scheduling, or each module keeps its own dates.
• What happens to already-calculated attendance percentages when a holiday is added retrospectively.
• Whether multiple calendars are supported where different sections or curricula run different terms.
• How the next academic year is created without disturbing the current one.
• Whether term boundaries, examination windows, and fee periods can differ from one another.

What it costs to get wrong

A misconfigured calendar produces numbers that are wrong in a direction nobody notices until a parent checks. Attendance percentages that include holidays understate every student equally, which looks plausible until a leaving certificate is challenged. Fee due dates falling on closure days generate reminders nobody can act on. Because the calendar is the denominator for so much, correcting it later means restating figures that families and staff have already been given.
