Define what closeout means
Year-end closeout is the controlled transition from one academic period to the next. It should state which records are complete, which remain open, who may correct them, what reports and financial reconciliations are accepted, and what is archived or carried forward.
Use the academic calendar and school policy to set dates. Name owners for academic records, student relationships, fees and payments, staff access, family communication, data quality, privacy, security, and the closeout decision.
Reconcile records and outputs
Compare source records with rosters, attendance, assessment, reports, fees, receipts, payments, documents, and family-facing outputs as relevant. Check duplicates, missing values, unresolved corrections, changed guardians, withdrawn students, staff leavers, and transfers.
Record the evidence and approval for each critical output. Do not overwrite a historical value to make a report look tidy; use a controlled correction that preserves the required history and explanation.

Map copies in exports, integrations, backups, payment services, communication tools, support systems, and private spreadsheets. “Closed” is not a complete lifecycle decision if a copy remains unmanaged.
Close support and supplier work
Classify unresolved support cases as data correction, training, workflow, permission, policy, supplier, or product-fit work. Give each an owner and a date for the next academic period. Reconcile temporary work completed outside the system.
Ask suppliers for release notes, changes, incident summaries, export or deletion evidence, and responsibilities that affect the next period. Keep contract and product claims separate from what the school has verified.
Prepare the next period
Carry forward only the data, definitions, permissions, and workflows approved for the next period. Test the new calendar, classes, staff, roles, family relationships, fees, reports, and communications with controlled data.
Review what should be improved, held, consolidated, or retired. A closeout plan should leave the school with a clean decision record, not simply a new academic year in the same system.
Record the closeout decision
At closeout, record the evidence, exceptions, approvals, retention decisions, unresolved risks, owners, and review date. Revisit the record at 30, 60, and 90 days of the new period to confirm that the transition worked.
