The spreadsheet handoff problem in school operations
Spreadsheets usually become a school operations problem at the handoffs: when a student, fee, class, or report appears differently in two places.
The problem is not the spreadsheet itself
A spreadsheet can be the right tool for a small, temporary list. Trouble begins when a working document becomes an unofficial system of record. Different copies acquire different owners, formulas, dates, and assumptions. Staff then spend time deciding which version is correct before they can do the actual work.
Find the handoffs
Map the moment data leaves one team and enters another. Admissions may export an accepted-student list, administration may retype it into a roster, finance may create a fee record, and teachers may receive a third list. Each handoff creates a chance for delay, duplication, or a missing update.
- Write down the file name and owner at every step.
- Mark where a person retypes an existing value.
- Record which fields are allowed to differ and why.
- List the report or family action that depends on the data.
Choose a first workflow to improve
Do not begin by replacing every spreadsheet. Choose one high-friction workflow with a clear owner and a testable outcome. A useful first candidate has repeated re-entry, a visible family or leadership impact, and enough volume to reveal whether the new process works.
Agree on a correction path before migration. A new system does not make uncertain data trustworthy by itself; the school still needs definitions, validation rules, and a person who can resolve an exception.
Capture a baseline before changing the process. Count how many handoffs occur, how often records are corrected, how long the work waits between owners, and which downstream report depends on it. Even a simple sample gives the team something more useful than a general promise to save time.
Measure the change honestly
Track the number of handoffs, corrections, delays, and unresolved exceptions before and after the change. Avoid claiming time or financial savings until the school has measured them. The goal is a more dependable process, not a more impressive spreadsheet replacement story.
