A practical glossary of exams, gradebooks, and report cards

A practical glossary of exams, gradebooks, and report cards, defining assessment, marks, grades, moderation, missing work, approval, publication, correction, and reporting terms.

Assessment and submission

An assessment is the planned activity or evidence used for an educational decision. A component is a part of that assessment; an attempt is a permitted opportunity; a submission is the work or evidence received.

A glossary should state whether a term describes the task, the evidence, the result, the workflow, or the person responsible. Similar words should not hide different rules across subjects or campuses.

Marks, grades, and calculations

A mark is a recorded result under an approved scale. A grade is a classification or band derived under an agreed rule. A percentage, weighting, rounding rule, boundary, or aggregation may affect how the result is calculated.

Record formula, scale, range, missing-value treatment, resit, special consideration, withdrawal, transfer, duplicate, and finalisation meaning. Keep calculation version and approval visible.

Status and moderation

Absent, late, missing, exempt, pending, moderated, approved, published, and corrected should each have a defined meaning, permitted use, owner, evidence, and report effect.

Moderation is a controlled review of marks or judgements. Document sample, reviewer, adjustment, disagreement, approval, date, history, and communication rather than describing moderation as an invisible change.

Reports and corrections

A report should state population, period, source, refresh, calculation, version, finalisation, audience, action, correction window, and limitations. A correction should preserve the reason, actor, date, previous value, new value, evidence, and effect.

The U.S. Department of Education data-quality guidance connects reliable information with definitions, rules, validation, infrastructure, and professional learning. Review glossary terms at 30, 60, and 90 days as policy and reporting needs change.

Make the next improvement testable

Use this guidance to improve one bounded part of a practical glossary of school exam and gradebook software. Name the owner, assessment or gradebook record, evidence, correction route, and review date so staff can apply it consistently.

Check an ordinary case and one meaningful exception. If either depends on undocumented knowledge, add the missing definition, validation rule, permission, training note, or support route.

Record what changed, what remains manual, and who reviews the result before the next marking or reporting cycle.

Keep the decision beside its evidence so the next teacher or administrator can understand the rule without relying on informal memory.

Use the review to decide whether the change should be expanded, repaired, narrowed, or held.

Recheck the boundary when a subject, campus, grading scale, role, integration, calendar, or policy changes. A familiar workflow can carry a different access or reporting risk after a small change.
