Report cards and remarks

A term report card is assembled, not authored. For each student the system reads every PUBLISHED assessment for their active class whose assessment date falls between the term start and end dates, groups them by subject, sums obtained and maximum marks, and converts the percentage to a letter using the school grading scale. Term boundaries come from the academic calendar, so a card is only as correct as the term dates configured there.

Mark status changes the arithmetic. An EXEMPT mark is excluded from both the obtained and maximum totals, so a student who genuinely sat a paper out is not penalised; a subject where every assessment is exempt is shown as exempt rather than scored. An ABSENT mark fails the subject. The overall result is a pass only when no subject fails and the total percentage clears the pass threshold derived from the grading scale. Attendance printed on the card is counted from full-day register marks inside the term, not from leave records.

Prerequisites

• Terms defined for the academic year on the Terms tab at /academic-calendar - the card window is the term start and end date.
• A grading scale at /settings/grading-scale; without one the default CBSE bands apply, and the pass threshold is taken from the lowest band that still scores points.
• Assessments published for every subject the class studies, or publish will be blocked.
• Class and co-class teachers assigned, since remarks are written by homeroom staff.

The publish snapshot

• Publish runs for a whole class and term at once and refuses if any active student is missing marks in any subject, naming the students and subjects.
• For each student it writes a per-subject snapshot row plus the totals, percentage, letter grade and remark, then marks the card published.
• Downloads after publish read the snapshot, so a later mark correction does not silently reissue a different PDF.
• Students and linked parents are notified in-app, and by email when the channel is enabled.
• Amending re-assembles from current marks, writes a fresh snapshot, increments the revision, and notifies families that the card was updated.
• Unpublishing hides the card from families but keeps the snapshot and writes an audit entry; both amend and unpublish require a written note.

What breaks if you skip or reorder

• Term dates wrong: assessments dated outside the window are simply not seen, and the card reports subjects as having no data.
• Grading scale changed after publish: published cards keep the letters frozen at publish time, but drafts, previews and live views immediately recompute against the new bands - so a class published before the change and one published after will not agree.
• An assessment published late: it is not added to an already-published card until someone amends that card.
• A student enrolled after publish: they have no card for that term until publish is run again for the class.

Handoff and limits

Report cards read from the gradebook and hand off to the student and parent portals and to notifications. Formal exam results reach a card only because publishing an exam paper creates a published assessment in the gradebook; the exam session’s own grade cards are a separate publication with a separate audience gate.

• Bulk PDF generation is capped at 80 students per request - split a large class by section.
• The stored snapshot does not include attendance, so a PDF regenerated from a published card shows zero attendance days.
• There is no per-subject teacher remark on a term card; remarks are one free-text note per student, up to 500 characters.
