The gradebook is the continuous-assessment track: teachers use it throughout a term for class-and-subject assessments, rather than for the formal exam session itself. An assessment records its class, subject, date, type, maximum marks and optional weightage. Mark rows are entered for the roster, and the assessment remains staff-only until it is published. Formal examination papers are a separate workflow; when a paper is published, the system creates or reuses a published FINAL assessment so exam marks can use the same marking infrastructure without turning the ordinary gradebook into the exam scheduler.

Access is scoped in two ways. A class or co-class teacher and leadership can use class-wide gradebook and consolidation views, while a teacher with an active class-subject assignment can prepare that assigned assessment. Students and parents receive only published assessment data through their family portals. Set the grading scale before interpreting letters, and keep assessment dates inside the academic term when the results are intended for a term report card.

A mark row is not a substitute for an assessment record: the assessment supplies the maximum-mark denominator, date and publication state used by downstream views. Before publishing, verify the active class roster and assessment status, then use gradebook filters or exports for the required class, subject and date range. Report-card aggregation is a later term workflow, not an automatic consequence of typing a score.

Configure grading scale at /settings/grading-scale.

Open /grades → create assessment for class and subject.
Enter marks per student - only assigned class-subject pairs are visible.
Publish assessment - students and parents see published marks only.
Export CSV/PDF for records from the gradebook tools.

Student - /my-grades shows published assessments and published report cards only.
Parent - /parent-dashboard/grades?childId= for the linked child; API filters status PUBLISHED.

Does entering a mark publish the assessment?+

No. Mark entry changes the assessment mark row, but the assessment itself stays hidden until a teacher or authorised administrator publishes it. Student and parent grade views filter for PUBLISHED assessments, so review the roster and marks before using the publish action.

How do formal exam marks appear in the gradebook?+

Publishing an exam paper creates or reuses a linked assessment with an Exam title, type FINAL, PUBLISHED status, full weightage and the paper’s scheduled date. It seeds mark rows for active students; markers then enter scores against that assessment while the examination session retains its own schedule and result-card workflow.
