Operator daily playbook

A shift checklist for the front office, finance, and transport desks, with the route for each step and the access each one needs.

Use this as a shift checklist rather than a description of the product. Not every desk does every section, so skip the ones outside your remit. Two things are worth knowing before you start: the sign-in screen makes you choose the kind of account you hold and rejects the wrong choice outright, and several desk actions depend on a committee membership or a staff type rather than on your job title.

Morning open, every desk

  1. Sign in at /signin using the tile that matches your account, then land on /dashboard.
  2. Read /notices. Loading that list is also what publishes any notice scheduled overnight, so do it early.
  3. Clear /notifications, which is where absence follow-ups, fee reminders, and approval requests arrive.

Admissions desk, intake season

  1. Open /admissions for funnel counts, then work overnight submissions at /admissions/applications.
  2. Verify each required document on the application detail. Enrolment refuses later with the document names listed if any is still unverified.
  3. Schedule entrance tests at /admissions/tests and interviews at /admissions/interviews - they are separate screens.
  4. Shortlist at /admissions/shortlists, then issue offers at /admissions/offers. Offers, tests, and enrolment need the committee chair or leadership.
  5. Enrol at /admissions/enrollments once the offer is accepted, then confirm the guardian record and portal login at /parents.
  6. Families check their own status at /admissions/track using the registration number and the date of birth exactly as submitted.

Finance desk

  1. Take counter payments at /fees/collections and confirm the receipt was generated.
  2. Check the receipt email marker on /fees/payments. A row reading FAILED can be resent; a row reading NO_EMAIL means neither the student nor an active guardian has an address on file.
  3. Work /fees/defaulters by telephone. The dunning ladder is not sending anything on your behalf.
  4. Reprint duplicates from /fees/receipts and reconcile the day at /fees/payment-history.

Transport desk

  1. Watch the fleet on /transport/day-sheet. Live positions exist only while a driver has a trip running.
  2. Drivers start and close their own trips at /transport/duty; one vehicle can only have one trip in progress.
  3. Record breakdowns and substitute vehicles at /transport/incidents.
  4. Route and stop changes are made at /transport/assignments and need Platform Admin, Principal, or Vice Principal - finance and office staff can see the screens but not save.
  5. Pull boarding history from /transport/reports for the weekly review.

Afternoon close

  • Library returns and fines at /libraries. Fines are calculated on return as calendar days late minus the grace period, so a late return over a holiday still accrues.
  • Publish any closure or event notice at /notices before you leave, rather than scheduling it.
  • Log inbound and outbound official letters at /files/incoming and /files/outgoing.
  • Hand unresolved permission questions to the platform administrator rather than working around them.

Signing in returns "This account is not a Staff login". What went wrong?+

The sign-in screen asks which kind of account you hold before it asks for credentials, and it checks the answer after authenticating. If the tile does not match the account it signs you straight back out with that message rather than letting you in on the wrong surface. Office staff on a Support Staff role use Staff, leadership uses Admin, and class teachers use Teacher.

Which desk tasks need something more than a login?+

Three. The fee screens need Platform Admin, Principal, Vice Principal, Support Staff - Finance, or the office Admin role. The admissions screens need membership of the Admissions committee, whatever the role. The library circulation desk needs an employment record whose staffType is Librarian. Everything else on this page follows from a normal staff account.

Is there anything that has to be done daily because the system will not do it?+

Yes. No job runs on a timer inside the application on this installation, so scheduled notices only publish when somebody loads /notices, dunning reminders never advance, and admission offers never expire. Until scripts/run-school-cron.sh is installed with FEES_CRON_SECRET, opening the notices list once a morning is a real task rather than a habit.
