Public application and tracking

The two pages families use without an account: the apply form at /admissions/apply and the tracking page at /admissions/track, including what is required before an application can be submitted.

Everything a family does before enrolment happens on two pages, neither of which needs an account. /admissions/apply builds the application; /admissions/track shows where it has got to and is where an offer is accepted or declined. Both are public, both are rate limited, and both verify a family with the same three facts rather than a password: the application number, the parent email, and the student date of birth.

The applicant path

  1. Open /admissions/apply and choose an admission cycle from the list of open cycles. Fields, custom questions and required documents all come from that cycle’s form configuration.
  2. Complete the multi-step form and upload documents. The application is saved as a draft at this point and is not yet in the pipeline.
  3. Pay the application fee at /admissions/apply/payment if the chosen cycle carries one. Submission is refused until it is paid, and the amount is shown before payment.
  4. Submit. The application number is issued and a confirmation email goes to the parent address with a tracking link.
  5. Track at /admissions/track using the application number, parent email and student date of birth.
  6. Respond to an offer from the same page while it is still pending and before its acceptance deadline.

Staff pick the application up from there. Required documents are verified on the application detail page, and that verification is not only an enrolment gate — an offer cannot be issued while any required document is unverified either, so it is worth doing early rather than at the end. Progress emails go to the parent address on the application at each step, which means an unconfigured SMTP server leaves families with no visibility apart from the tracking page.

Is there a separate apply link for each admission cycle?+

No. There is one public page, /admissions/apply, and it lists every cycle that is open, active, and not past its closing date. The family picks the cycle from a dropdown on the first step. Share that single address on the school website; there is no per-cycle URL to generate.

Which documents must be uploaded before an application can be submitted?+

A birth certificate, an Aadhaar document, and a student photograph, plus any custom file fields the cycle form adds. Submission is refused with the missing types named. A previous marksheet and a transfer certificate are recommended but never block submission.

What does a family need to check their status?+

Three things together: the application number in the form APP-YYYY-NNNNN, the parent email used on the application, and the student date of birth. All three are checked on every lookup, and the same proof is what lets a family accept or decline an offer or download an admit card. Lookups are rate limited, so repeated wrong guesses are throttled.

The family filled in the form but the office cannot see the application. Why?+

A public application is created as a draft and only becomes visible in the pipeline when it is submitted, which needs the required documents uploaded and the application fee paid where the cycle has one. Applications entered by staff skip the draft state and are submitted immediately.
