Why integration is not the same as trust

Connected HR and payroll data can reduce re-keying, but a connection can also move a wrong contract, stale bank detail, invalid pay element, or excessive permission more quickly. Trust depends on definitions, ownership, validation, and reconciliation.

Map employee, position, contract, time, leave, pay, approval, payroll, payment, payslip, journal, report, correction, and archive records. Name the authoritative system and change owner for each.

Connect only for a defined purpose

For every exchange, specify source, destination, fields, identifier, trigger, frequency, transformation, validation, retry, error route, audit event, access, retention, and rollback.

Avoid sending salary, bank, health, or other sensitive information merely because a system can receive it. Restrict data to the purpose, users, jurisdiction, retention period, and support route that have been reviewed.

Reconcile across the boundary

Compare source and destination counts, identifiers, employee status, contract dates, hours, leave, pay elements, approvals, payroll result, payment file, payslip, journal, report, and correction history.

Test new starter, leaver, changed hours, contract change, unpaid leave, absence, retroactive change, bank change, failed payment, reversal, integration outage, and off-cycle run.

Measure the connection

Track rejected records, late records, duplicate records, manual corrections, payroll variance, approval delay, support demand, access exceptions, incident recovery, and employee questions.

At 30, 60, and 90 days, decide whether the connection should be expanded, repaired, narrowed, consolidated, or held. A successful data transfer is not proof of a successful workforce outcome.

Make the next improvement testable
