Define the terms before using them

Implementation means changing a school’s operating model, not only installing software. Security means protecting confidentiality, integrity, availability, identity, access, records, and people. Multi-campus operations means governing a shared service while documenting justified local variation.

Use a glossary that names the school’s meaning, owner, evidence, limitation, dependency, and review date for each term. A vendor’s definition may not match the school’s policy or local requirement.

Test new user, offboarding, transferred student, changed role, duplicate record, failed sync, lost device, phishing report, outage, restore, export, and urgent safeguarding or privacy escalation.

Review language as the service changes

At 30, 60, and 90 days check whether staff, campuses, suppliers, families, and leaders use the terms consistently and whether the definitions still match configuration, policy, evidence, and measured outcomes.

Decide expand, repair, narrow, consolidate, or hold. Keep the glossary near the decision record so new colleagues can understand the boundary without relying on informal memory.

Make the next implementation step testable
