Families expect clarity and reliability

Families expect school software implementation to make information easier to find, understand, and act on. They should know what changes, which student or account it affects, what action is needed, by when, and how to obtain help.

Provide accessible instructions, clear privacy boundaries, correction routes, support channels, alternative access, translation where needed, and an explanation of what remains manual during transition.

Protect family information

Define student, household, authorised contact, relationship, identity, permission, notice, form, event, response, consent, attachment, report, support, retention, and safeguarding boundaries.

Test new family, multiple children, separate households, changed guardianship, bounced message, no connectivity, translation, accessibility, duplicate response, withdrawn consent, correction, safeguarding concern, and outage.

Do not confuse delivery with success

Measure whether the right audience received information, could access it, understood the task, completed the response, received acknowledgement, and obtained support when something went wrong.

Separate non-adoption caused by access, connectivity, language, disability, timing, relationship data, content, trust, support, or genuine choice. Minimise sensitive details in feedback and support records.

Close the loop with families

At 30, 60, and 90 days review delivery, completion, corrections, wrong audiences, support demand, accessibility barriers, incidents, recovery, training, campus variation, and outcome.

Decide expand, repair, narrow, consolidate, or hold and communicate the decision in plain language with an owner and next review.

Make the next implementation step testable

Use this guidance to improve one bounded part of what families expect from school software implementation. Name the owner, implementation record, evidence, correction route, support path, and review date so staff can apply it consistently.

Check ordinary work and one meaningful exception. If either depends on undocumented knowledge, add the missing definition, validation rule, permission, approval, accessible instruction, security control, or escalation route.

Record what changed, what remains manual, and who reviews the result before the next implementation, campus, security, support, or reporting cycle.
