Questions school leaders should ask about student records and enrollment data before selecting, changing, or expanding a student information system.

Ask what decision the record supports

Which decisions depend on this value? Who makes them? How current must it be? What happens when it is missing or disputed? These questions prevent a system from collecting fields without defining their purpose.

Ask which record is authoritative for identity, relationships, enrollment, class placement, attendance, academic history, documents, and communication.

Ask how correction works

Can staff see the source, history, approver, date, and reason for a change? Can a family request a correction? Can the school correct one record without silently changing an unrelated report?

Test duplicate student, changed name, transfer, withdrawal, conflicting guardian, missing value, and historical correction scenarios before accepting a promise.

Ask who can see and move data

Ask which roles can view, create, edit, approve, export, correct, archive, and delete. Ask how access is removed when staff leave and how suppliers, support users, integrations, and campuses are governed.

Ask how leadership will know it worked

Define baseline and review measures: completeness, validity, duplicates, correction time, transfer readiness, reporting confidence, support demand, access exceptions, and staff capacity. Review them at 30, 60, and 90 days instead of relying on adoption counts alone.

Make the next record action clear

Use this guidance to improve one bounded part of questions leaders ask about student information system. Name the owner, record, evidence, correction route, and review date so staff can apply it consistently.

Check an ordinary record and one meaningful exception. If either depends on undocumented knowledge, add the missing definition, validation rule, permission, training note, or support route.

Record what changed, what remains manual, and who reviews the result before the next reporting or enrollment cycle.

Keep the decision beside its evidence so the next operator can understand the rule without relying on informal memory.
