What a weekly review of student records and enrollment data

What a useful weekly review of student records should cover: new and changed records, quality exceptions, handoffs, access, reports, support, and decisions.

Start with changes and exceptions

Review new students, transfers, withdrawals, re-enrollments, changed names, changed relationships, missing values, duplicate alerts, rejected documents, and unresolved correction requests. Assign every item an owner and next action.

A list of activity is not a quality review. Ask which decisions could be wrong if the record is not corrected this week.

Check handoffs and reports

Compare a sample across admissions, registrar, class placement, attendance, academic, family communication, and reporting workflows. Note late delivery, unmatched identity, changed status, missing history, and manual re-entry.

Record report definitions, period, source, reconciliation, limitation, and approver. Do not repair a published number without preserving the reason.

Check access and support

Review new roles, leavers, temporary access, support accounts, exports, failed access, incidents, and questions that reveal an unclear permission or definition. GOV.UK guidance emphasises accountability and appropriate security.

End with decisions

Close with items to correct now, investigate, monitor, communicate, or hold. Review recurring patterns at 30, 60, and 90 days and decide whether a definition, validation rule, training note, workflow, permission, or system change is needed.

Make the next improvement testable

Use this guidance to improve one bounded part of what a weekly review of student information system. Name the owner, record, evidence, correction route, and review date so staff can apply it consistently.

Check an ordinary record and one meaningful exception. If either depends on undocumented knowledge, add the missing definition, validation rule, permission, training note, or support route.

Record what changed, what remains manual, and who reviews the result before the next reporting or enrollment cycle.

Keep the decision beside its evidence so the next operator can understand the rule without relying on informal memory.
