Plan and observation

A timetable is a plan for class, subject, teacher, room, campus, period, and date. Attendance is an observation about a student in a class and period. Keep these meanings separate even when a system connects them.

A published timetable is not proof that teaching or attendance occurred.

Core terms

A period is a defined teaching interval. A class is the group receiving a lesson. Cover is an approved replacement arrangement. A status is the school’s defined attendance value, while a reason explains a permitted context where the policy allows it.

A correction changes an inaccurate record with evidence and history. An authoritative source is the record the school trusts for that value.

Exceptions and reports

Room change, cancelled period, split class, late arrival, early departure, partial attendance, transfer, duplicate mark, closure, and reporting-period change are normal tests, not unusual distractions.

The U.S. Department of Education data-quality guidance links reliable records with definitions, rules, validation, infrastructure, and professional learning.

Use terms safely

Separate view, create, edit, review, approve, publish, export, correct, archive, and delete. GOV.UK school guidance emphasises accountable and secure handling; apply local privacy, safeguarding, records, and legal advice.

Review confusion, corrections, staff effort, access exceptions, support demand, and report confidence at 30, 60, and 90 days.

Make the next improvement testable

Use this guidance to improve one bounded part of a practical glossary of school timetable and attendance software. Name the owner, timetable or attendance record, evidence, correction route, and review date so staff can apply it consistently.

Check an ordinary case and one meaningful exception. If either depends on undocumented knowledge, add the missing definition, validation rule, permission, training note, or support route.

Record what changed, what remains manual, and who reviews the result before the next lesson cycle or attendance report.

Keep the decision beside its evidence so the next teacher or attendance officer can understand the rule without relying on informal memory.

Use the review to decide whether the change should be expanded, repaired, narrowed, or held.

Recheck the boundary when a campus, period, role, integration, calendar, or policy changes. A familiar workflow can carry a different access or reporting risk after a small change.
