How this works in a running school

A parent portal succeeds or fails on whether it answers the question a parent would otherwise phone the office about. In most schools that is a short list: has my child been marked absent, what do I owe, has the receipt arrived, what did they score, and what is happening next week. A portal that answers those five on a phone in under thirty seconds reduces office calls measurably; one that requires navigation does not.

The second determinant is data freshness. A parent who checks the portal, sees an outdated fee balance, and phones anyway has learned not to trust it, and that lesson is hard to reverse. Portals fed by a nightly sync rather than the live record tend to lose family confidence in the first term.

What to check when evaluating it

• Whether a guardian with three children uses one account, or three.
• Whether the fee balance and receipts shown are live or synchronised.
• Whether results appear only after the school publishes them, rather than as marks are entered.
• What the portal looks like on a mid-range phone on a slow connection.
• Whether the languages your parent community uses are actually available.
• Whether a guardian can update their own contact details, and what approval that requires.

What it costs to get wrong

Family trust in a portal is won once and lost once. A parent who checks a balance, sees a stale figure, pays the wrong amount, and then has to sort it out with the office will not check again, and they will tell other parents. Recovering that costs far more effort than the sync problem that caused it. This is why the freshness of fee and attendance data on the family side deserves more scrutiny during evaluation than the portal feature list.

What should parents be able to see in a parent portal?

Attendance for their own children, published results and report cards, fee position with receipts, school announcements, and messages from staff.

Nothing about other students should be visible, and unpublished marks should not appear.

Do parents with multiple children need separate logins?

They should not. A guardian should have one account linked to each child, switching between them in the interface.

Separate logins usually indicate that guardians are stored as fields on a student record rather than as records in their own right.

How do we get parents to actually use the portal?

Move something they need into it and keep it accurate. Receipts and attendance are the usual candidates, because both are things parents actively want.

Adoption driven by an announcement rarely holds; adoption driven by the portal being the fastest route to a receipt does.
