Reducing manual work in a school starts with finding repeated re-entry and correction loops, then testing one owned improvement at a time.

Find the repeated entry

List the values people type more than once: student identity, guardian contact, class, fee, attendance, assessment, staff, or event information. Then ask whether each repetition is necessary or whether it exists because two workflows are not connected.

Do not assume every repeated value should be centralized. Some teams need a derived view or a local note. The useful question is whether the repetition creates a correction risk, delay, or unclear ownership.

Choose one correction loop

Pick a workflow where the same error returns to the same people. Measure a small baseline: number of corrections, waiting time, unresolved cases, and downstream effect. Use the baseline to define a test rather than promising a general efficiency gain.

  • Define the source value and owner.
  • Remove one avoidable handoff or clarify its purpose.
  • Test an ordinary record and an exception.
  • Check permissions and auditability.
  • Review the result with the person doing the work.

Protect the information while simplifying work

A shortcut that gives everyone a broader spreadsheet or shared account may reduce re-entry while increasing privacy and security risk. GOV.UK guidance on procuring educational technology recommends considering data protection by design, access control, security measures, subprocessors, and data return or deletion.

Make the safer process the easier process where possible: one trusted source, clear correction ownership, useful validation, and a defined publication step.

Expand only after review

Keep the test result and the new process note. If the change works, choose the next related handoff. If it fails, classify the cause and revise the process. Small improvements accumulate when they are repeatable and owned.

Review whether the improvement changed permissions, retention, reporting, or family communication. A faster task is not a successful change if it creates a new control problem somewhere else in the workflow.

Share the result with the next owner before expanding; the handoff is part of the test.
