Connect only for a purpose

Connected data can reduce duplicate entry and improve context, but every link needs a defined purpose, authoritative source, field, owner, access boundary, retention need, and correction route.

Map student, teacher, subject, class, cohort, campus, assessment, component, attempt, submission, mark, grade, attendance context, report, and reporting period.

Protect identity and meaning

A correct mark attached to the wrong learner or grading period is not useful data. Test duplicate identity, transfer, withdrawal, changed class, subject move, resit, special consideration, and changed assessment.

Define whether a connected value is authoritative, advisory, calculated, copied, or historical. Keep source, effective date, version, and correction history visible.

Test the chain

Rehearse assessment setup, mark entry, missing or late work, absence, moderation, amended mark, report correction, duplicate, integration delay, access failure, and outage from source to report.

Record expected and observed results, timing, rejected values, retries, conflicts, permissions, notifications, manual work, owner, and evidence. A successful data transfer does not prove a correct decision.

GOV.UK guidance emphasises accountable handling of school data. At 30, 60, and 90 days, review completeness, corrections, report confidence, support demand, access exceptions, staff effort, and the original reason for connecting the data.

Make the next improvement testable

Use this guidance to improve one bounded part of why connected data matters for school exam and gradebook software. Name the owner, assessment or gradebook record, evidence, correction route, and review date so staff can apply it consistently.
