Review the current period

A weekly review should begin with the school’s current billing and payment window: fee items issued, invoices due, payments received, allocations pending, refunds requested, credits open, statements sent, and bank or gateway files reconciled.

Set the period, campuses, currencies, accounts, systems, reports, and owner. Compare expected totals with observed records rather than relying on a dashboard colour or headline balance.

Check access, payment links, notifications, exports, support tickets, backups, retention, privacy, security, records, accessibility, and incident routes. Protect sensitive financial and personal information in the review record.

Turn review into action

Track repeat cause, correction time, unmatched items, failed payments, statement questions, staff effort, support demand, and the original outcome. At 30, 60, and 90 days, decide expand, repair, narrow, consolidate, or hold.

Make the next improvement testable
