How to check any of this for yourself

Take these questions to us, to a reference school, and to every other vendor on your shortlist. The answers differentiate platforms far more than a feature matrix does.

Ask about the term they went live, not the term after

Every rollout looks tidy in retrospect. The useful window is the first six weeks, when the office was still learning the platform and families were being asked to change how they pay and where they check results. A reference who can describe what went wrong then, and how quickly it was resolved, is telling you something a case study cannot.

Questions to ask

  • What broke in the first month, and how long did it take to get an answer?
  • Which task took longer in the new platform than in the old process?
  • How much of the first term did the office spend running both systems?
  • What did you have to clean up in your data before migration could proceed?

Talk to the roles that use it daily, not only the decision maker

A principal can tell you whether reporting improved. Only the registrar can tell you how long an admission takes now, and only a class teacher can tell you whether marks entry is fast enough that they stopped keeping a spreadsheet. Those two roles determine whether the platform actually holds the school record or merely appears to.

Questions to ask

  • Registrar: how long does it take to move an accepted applicant to a live roster record?
  • Bursar: how often does a family dispute an invoice or receipt now?
  • Teacher: do you enter marks directly, or somewhere else first?

Test your own awkward cases, not the demo script

Every school has three or four cases that do not fit a standard data model: the mid-year transfer with a partial academic history, the sibling discount that applies only to the second and third child, the student taking a subject with another year group. These are where platforms differ. Bring them to the evaluation and ask to see them configured rather than described.

It is not a claim that every school completes it in three terms. Schools with clean data and a committed registrar move faster; schools migrating a decade of records move slower.

The actual sequence depends on data readiness, staff capacity, gateway onboarding, and the school’s academic calendar.

Can we start with one campus and expand?+

Yes, with a caveat worth reading before you plan on it. A deployment can hold several schools, each with its own branding and settings, and a platform administrator can switch between them.

But staff belong to one school, classes and fee structures carry no campus identifier, and no report aggregates across campuses. If you need each site partitioned and a group-level number, run a deployment per campus.
