School ERP for IB World Schools - PYP, MYP & DP on one calendar

What is school management software for ib schools?

School Management Software for IB Schools (also called school ERP, school administration software, or student information system) is a cloud platform that centralizes enrollment, attendance, gradebook, fee billing, staff records, and parent communication in one system. The best 2026 platforms add AI-assisted workflows, role-based access, and mobile-first family portals on top of these core functions.

A modern school management software for ib schools typically unifies:

• Student Information System (SIS)

Centralized enrollment, academic history, guardians, health notes, and contact records for every student.

• Attendance management

Real-time tracking on working days from one calendar, with parent notifications for absences and late arrivals.

• Gradebook & assessments

Flexible grading, homework, class tests, and report card generation with publish gates before families see marks.

• Fee & financial management

Tuition billing, installment plans, online payments, PDF receipts, and defaulter views tied to student records.

• Parent & student portals

Multi-child dashboards for fees, receipts, published grades, attendance, and school communications.

• Staff & HR management

Timetabling, leave aligned to the academic calendar, staff records, and payroll beside school finance.

• Analytics & reporting

Dashboards for attendance patterns, fee collection, exam outcomes, and leadership oversight across live modules.

Built for IB programme structure

IB World Schools run structured programmes across PYP, MYP, and DP - often on the same campus. Schoolyi configures academic years and terms for IB calendars, links subject templates to class structure, and keeps admissions through report cards on one student record.

What IB school teams run on Schoolyi

• Admissions with public apply and track through enrollment
• Academic calendar with IB term boundaries and exam session markers
• Gradebook with publish gates before families see marks
• Fee structures, online pay, and PDF receipts in the parent portal
• Subject templates for MYP and DP course groups
• Role-based access so coordinators, teachers, and finance see scoped views

Honest capability notes

IB calendar presets, 1-7 grading scale, IB-style progress report PDFs, MYP/DP subject templates, DP subject groups, predicted grades (UI + PDF), CAS/EE/TOK milestone tracking at `/grades/ib-core`, and optional subject-catalog merge on board profile apply ship today. Full CAS activity logs and EE draft uploads remain on the roadmap - we scope launch modules honestly in every demo.

IB coordinator workflows on one platform

IB coordinators juggle programme requirements across PYP, MYP, and DP while registrars run admissions peaks and bursars manage term billing. Schoolyi keeps CAS, EE, and TOK milestone tracking beside gradebook and report cards so coordinators are not exporting marks to parallel trackers every reporting cycle.

Predicted grades, subject groups, and board-specific report PDFs stay tied to the student record families already use for fees and attendance - reducing status calls during moderation season.

• IB calendar presets with term and exam session markers
• MYP and DP subject templates seeded from board profiles
• Publish gates before families see draft marks
• CAS / EE / TOK milestone views for coordinators
• Parent portal receipts and published report cards

Who relies on school management software for ib schools every term

The academic calendar is the backbone of your school year. Terms, holidays, working days, and events flow into attendance, exams, fees, timetables, and leave, so every team works from the same dates and structure.

When the calendar changes, downstream modules should not break. Schoolyi ties classes, subjects, syllabus templates, and session boundaries to one academic model. Coordinators set the year once; teachers, finance, and exam teams inherit consistent dates without maintaining parallel spreadsheets.

What breaks when school management software for ib schools lives in spreadsheets

Most schools start with shared drives and color-coded Excel files. That works until admissions peaks overlap with fee deadlines and exam week - then registrars retype accepted students into finance sheets, teachers maintain parallel mark books, and the front office answers the same parent questions because portals show stale data.

Point tools make it worse: a payment app that does not know class placement, or an LMS that cannot see fee defaulters. School Management Software for IB Schools should sit on one student record and one academic calendar so a calendar change or promotion updates every downstream module.

• Duplicate student profiles after admissions acceptances
• Fee receipts that do not match roster class lists
• Exam marks emailed before publish gates are ready
• Substitute coverage planned without a live timetable
• Leadership reports stitched together manually each month

Phased rollout for school management software for ib schools

Schoolyi deployments rarely start with every module on day one. Leadership picks a first-term scope - usually admissions, roster, and fees - then adds timetable, exams, and HR when teams have stable data habits. That sequencing matters more for school management software for ib schools than buying a feature checklist you will not use until year two.

Pilot schools typically run parallel for one billing cycle: new admissions and fee receipts in Schoolyi while legacy mark books finish the term. Once bursars trust receipts and registrars trust enrollment handoffs, academic modules follow on the same calendar.

• Term 0: academic calendar, classes, roles, and branding
• Term 1: admissions, roster, and fee structures with online pay
• Term 2: timetable, attendance, homework, and gradebook
• Term 3: exam sessions, report cards, payroll, and transport
• Ongoing: parent portal adoption and leadership dashboards

Evaluating school management software for ib schools vendors, questions that matter

Buyer guides for school management software for ib schools often list features without asking whether modules share data. Use these questions in demos and RFPs - they surface integration gaps faster than slide decks.

Ask vendors to show enrollment into live records, a published fee receipt families download, and exam marks hidden until an explicit publish action. If those three flows require exports, the platform will cost more in staff time than license fees.

• Does every module reference the same student ID and guardian links?
• Can families pay fees and download PDF receipts without staff re-entry?
• Are grades and report cards blocked until coordinators publish?
• Does the academic calendar drive attendance, exams, fees, and leave?
• Can we enable modules in phases without a rip-and-replace project?
• Is access role-scoped for teachers, finance, admissions, and families?
