How this works in a running school

The roster is the everyday object: who is in this class, this section, this subject group, right now. Its accuracy is what teachers judge the platform on, because a register listing a student who transferred out two weeks ago undermines confidence in everything else.

Rosters change more often than schools expect. Mid-term transfers, section rebalancing, subject option changes, and withdrawals all move students, and the question is whether the historical roster is retained so that past attendance and marks still make sense in context.

What to check when evaluating it

• Whether a mid-term section change preserves attendance and marks recorded under the previous section.
• Whether historical rosters remain readable for previous academic years.
• How subject option groups are handled where they cut across sections.
• Whether a withdrawn student disappears from current registers while remaining in history.
• How promotion to the next academic year builds the new rosters.
• Whether a roster change made by the office reaches the affected teacher, or only appears the next time they open the register.
• How a student enrolled but not yet placed into a section is represented, since they still need to appear somewhere.

What it costs to get wrong

Roster inaccuracy is what makes teachers stop trusting the platform. A register listing a student who left, or missing one who joined last week, tells the teacher that the system is behind reality, and from that point they keep their own list. The knock-on cost is that attendance and marks entered against the private list arrive late or not at all, which then affects reporting and fee follow-up. Roster accuracy is therefore an adoption issue rather than a data issue.

What is a student roster?

It is the basis for attendance registers, marks entry, and communication targeted at a class, and it changes through the year as students join, leave, or move between sections.

What happens to attendance when a student changes section?

Attendance already recorded should remain attached to the student and to the section it was recorded in, with the new section applying from the change date.

If the platform reassigns historical attendance to the new section, past reporting becomes inaccurate.

How are rosters created for a new academic year?

By promoting students into the structure defined for the new year, which is set up alongside the current one rather than by overwriting it.

The previous year keeps its rosters so historical reporting remains possible.

How are subject option groups handled?

As their own groupings that cut across sections, since students in the same class often take different options.

If the platform only supports section-based rosters, option teaching has to be tracked separately, which reintroduces the spreadsheet the roster was meant to remove.
