Considering a Gradelink alternative

If Gradelink is not the right fit for your school, this page explains what it is built for, what would make it the right choice anyway, and where Schoolyi differs. Every claim about Gradelink cites the page it came from.

Evidence basis

Where the facts on this page come from

Checked against Gradelink's own published pages. Nothing here is sourced from a review site, an analyst summary, or a sales conversation.

We have no published switcher case studies. Nothing on this page describes a school that moved between these platforms, because we hold no permissioned account of one. The migration notes below are what any move of this kind requires, not a record of one we have run.

This page was last checked against those sources on 29 August 2026. If it falls out of date, it stops being published rather than staying up unverified.

Gradelink

What Gradelink is

Described in Gradelink's own terms before any comparison.

Gradelink is a school administration platform aimed at private and smaller schools in the United States. Pricing is quote-based: a school submits its name, contact details, and approximate student count, the school is verified automatically, and a personalised quote arrives by email within minutes.

The published process is deliberately low-friction — around two minutes of questions, automatic school verification, then an emailed quote — and the site commits explicitly to not following up with volume email. Sales representatives are available by phone from 6:30am to 5:00pm Pacific, every day.

The quote route requires the school to be verifiable, which means the pricing model is oriented to established institutions rather than to self-serve sign-up.

Acknowledged

What Gradelink does well

Stated without qualification, because a comparison that finds nothing good in the other product is not a comparison.

  • A quote in minutes, from a two-minute form, is a materially better buying experience than the demo-then-discovery-then-proposal cycle common in this category.
  • An explicit commitment not to flood the buyer with email is rare and worth acknowledging.
  • Daily phone support hours across a wide window suit administrators who work outside a standard business day.
  • The focus on private and smaller schools means the product is scoped to institutions of that size rather than scaled down from a district platform.
  • Automatic school verification keeps the process honest without adding steps for the buyer.

Schools Gradelink is the right choice for

  • Private and smaller schools in the United States.
  • Schools that want a price early in evaluation without entering a long sales process.
  • Institutions whose requirements are close to the US private-school norm the product is built around.
  • Buyers who value responsive phone support over self-serve configuration.

Fit constraints

Where the fit runs out

These are scope decisions rather than defects. A platform built for one kind of institution is not deficient for being unlike another.

  • The product and its published material are oriented to the US private school. A school running IB, IGCSE, CBSE, or another national system outside the US is not the institution the defaults were set for.
  • Prices are not published, so like Schoolyi it cannot be budgeted against without contact — a shared constraint rather than a differentiator either way.
  • Verification-gated quoting is well suited to established schools and less so to new or unverifiable institutions.
  • Being scoped to smaller schools is the strength; it also means the multi-campus group case is not what the product is shaped around.

Schoolyi

Where Schoolyi works differently

Differences in design, not a scorecard. Some of these will count against us for your school.

Curriculum plurality on one roster

IB criterion levels, IGCSE tiering, and national-board grading are configured against one student record in Schoolyi rather than requiring separate deployments, which matters to international and multi-curriculum schools.

Fee collection for tuition-charging schools outside the US

Instalment plans, sibling and staff discounts, counter receipts, and defaulter follow-up are modelled for schools collecting tuition in their own currency and payment ecosystem, including gateway and counter payment side by side.

Multi-campus context switching

Groups running several campuses provision them on one tenant and switch school context after sign-in, rather than holding separate logins per campus.

The same constraint on pricing

Neither vendor publishes a price list, and we are not going to present that as a difference. Gradelink turns a quote around in minutes from a two-minute form, which is a genuinely good buying experience and one we do not match.

Migration

What a move between the two would require

General requirements of a migration of this kind. Not a record of one we have run.

  1. Confirm what your US state or accrediting body requires you to retain, and for how long, before deciding what not to migrate.
  2. Guardian relationships and payer-of-record need reconciling before import, particularly for families with children in more than one year group.
  3. Agree fee opening balances per family in writing before any financial data moves.
  4. Sequence by dependency: student identity and academic calendar first, then admissions and fees, then teaching operations, then assessment.

Read the implementation guides for how a phased rollout is normally sequenced, or compare schoolyi and gradelink side by side.

Schoolyi and Gradelink: common questions

Including the questions where the answer does not favour us.

Which suits a US private school better?+

Gradelink is built for exactly that institution and will feel closer to your norms out of the box, and it will give you a price faster. Schoolyi is worth evaluating if you run a non-US curriculum, collect tuition through a non-US payment ecosystem, or operate several campuses as a group.

Why does neither of you publish prices?+

Both quote against student count and scope. Gradelink has made that fast — around two minutes to a personalised quote by email. We are not going to claim an advantage on transparency here, because there is not one.

Do you support US-specific reporting?+

Not as a first-class concern. If state or accreditation reporting specific to the US is central to your requirement, that is a reason to prefer a platform built around it.

Has any school moved between the two?+

Not one we can publish. We hold no permissioned switcher account, and the migration notes above are general requirements rather than a case study.

Bring your own awkward cases to a walkthrough

The fee rule you find hardest to explain, the mid-year transfer, the guardian with children in two year groups. Those decide the fit far better than a comparison page can.
